Job description

Our client, a global enterprise technolofy and telecoms vendor are currently hirign for a Personal Assistant to provide general administrative support 2 Directors and to support for their management team when needed and their teams across Europe.

Responsibilities

  • Diary Management in Gmail.
  • Extensive liaison with travel agency on behalf of the Directors to schedule and book international travel, visas and accommodation
  • Manage meeting planning and organisation
  • Assistance in preparation of material for management meetings
  • Identifying urgent actions that need prioritisation and ensuring effective follow up.
  • Ad hoc administration for their management teams
  • Managing the accurate collection and submission of expenses for the Directors
  • Acting as a point of contact and communication channel for external business and customer contacts
  • Manage organisation charts
  • Effective management of the performance review process ensuring company deadlines are met
  • Organisation of yearly sales kick-off event(s) as required
  • Assist with resolving issues for the team with facilities helpdesk and IT helpdesk tickets for the Directors
  • Management of email distribution lists
  • Assist with email management on behalf of the Directors and be able to run the calendars with minimal input

Requirements

  • Advanced knowledge of Google Suite & Microsoft office suites
  • Experience working in a similar role at a senior level in a corporate, international environment.
  • Must be able to work across all levels and able to build good working relationships across the globe.
  • Knowledge of NSAP/ Concur PO and Expense portal is desirable.
  • Able to take initiative and work independently on projects, to devise own methods, approach and
  • procedures in fulfilling assignments
  • Able to handle sensitive employee and business information with utmost confidentiality
  • Comfortable working under pressure, managing time, setting priorities and following up appropriately, meeting deadlines.
  • Must have experience of working in a fast paced environment and be able to deal with regular changing schedules and be able to continuously reprioritise.
  • Must be highly organised and proficient in multitasking.
  • Must be extremely detailed, possess strong communication and organisational skills
  • A self-starter with a strong sense of ownership and involvement is critical.
  • Comfortable working at all levels with experience of supporting more than one person.
  • Professional and able to maintain a high level of confidentiality. Must be able to write correspondence and reports, preparing all requisite documentation in an acceptable business style
  • Must be able to think logically, pay close attention to detail, establish procedure and follow through
  • until completion.

This is a full-time, contract position for an initial period of 6 months with the possibility to extend up to 24 months and/or become permanent (although this is not guaranteed).
